Safe Response – Emergency Vehicle Conversions
Terms & Conditions of Service
This document constitutes a legally binding agreement (“Agreement”) between the Customer and Safe Response – Emergency Vehicle Conversions (hereinafter referred to as "Safe Response", “we”, “us”, or “our”) for the provision of services and/or supply of goods.
By engaging Safe Response for any services or purchasing any goods, the Customer agrees to the following Terms and Conditions:
1. Scope of Agreement
1.1. These Terms & Conditions apply to all services performed and any goods supplied by Safe Response.
1.2. Any additional or specific terms may be issued in writing via email, invoice, or contract.
1.3. No amendments to these terms will be valid unless agreed in writing and signed by an authorised representative of Safe Response.
2. Legal Use & Customer Responsibility
2.1. The Customer confirms that any equipment supplied or installed will be used lawfully, and only by appropriately authorised individuals or organisations.
2.2. Safe Response, its directors, employees, and contractors accept no liability for any misuse or unlawful possession of equipment once installation is complete.
2.3. If Safe Response believes deception has been used to obtain goods or services for unlawful purposes, we may:

Cancel the agreement immediately without refund;

Report the matter to relevant authorities (including NHS Trusts, law enforcement, or anti-terror agencies).
3. Booking, Deposits & Payments
3.1. A booking is only confirmed upon receipt of a deposit, normally 50% of the quoted amount unless stated otherwise in writing.
3.2. Full payment is required before the release or handover of any goods or vehicles.
3.3. Late payments will incur a surcharge of 8% of the total cost for every 10 working days beyond the due date.
3.4. All balances must be settled in full; partial payments may be declined at our discretion.
4. Cancellations & Rearrangements
4.1. Customer cancellations are subject to the following deposit refund schedule:

21+ days prior: Full refund

15–21 days: 50% refund

8–14 days: 25% refund

Under 7 days: No refund
4.2. Rearrangements may be accepted without charge if written notification is received at least 72 hours in advance.
4.3. All cancellations are subject to a £75 administration fee.
4.4. If a re-arranged booking is later cancelled, further charges may apply, up to the full booking value.
5. Warranty
5.1. Safe Response provides a 12-month installation warranty from the date of completion.
5.2. Equipment is covered by the manufacturer’s warranty, where applicable, for up to 5 years. Confirmation is provided at handover.
5.3. Warranty is void where damage results from fire, collision, vandalism, flooding, third-party interference, or improper use.
5.4. Safe Response is not liable for faults arising from parts supplied by the Customer.
5.5. Repairs outside of warranty may incur charges for labour, parts, travel, accommodation, and administration.
6. Liability for Damage, Theft & Loss
6.1. While every care is taken during installation, Safe Response will not be liable for:

Trim or clip damage

Damage, theft, or vandalism while vehicles are in our possession

Loss or theft of property not removed prior to delivery
6.2. Vehicles must remain insured and taxed while in our possession.
6.3. Secure storage for sensitive or medical equipment is available at £35 per day, per item.
6.4. Controlled drugs must not be left in the vehicle. Safe Response accepts no liability for these items.
7. Lease & Transport
7.1. For lease vehicles, Customers must request a “lease-safe” package if they require preservation of return condition.
7.2. Safe Response is not liable for lease return penalties unless confirmed in writing.
7.3. Safe Response does not provide trade driving services. Where a Customer authorises us to drive a vehicle, they accept responsibility for insurance.
8. Vehicle Condition & Cleanliness
8.1. Vehicles must be presented clean and suitable for work.
8.2. Vehicles deemed unfit may be refused or subject to an £85 cleaning charge.
8.3. During public health alerts, Safe Response reserves the right to postpone or cancel work in line with government guidance.
8.4. Vehicles must be free from hazardous items, gas canisters, and personal property before delivery.
9. Use of Media
9.1. Safe Response may capture and use images, video, and audio of completed work for promotional or legal purposes.
9.2. Customers wishing to opt out must notify us in writing at least 7 days before the scheduled start date.
9.3. We will endeavour to obscure number plates on unmarked vehicles, however accidental disclosure cannot be guaranteed.
10. Intellectual Property
10.1. All creative work, designs, templates and digital artwork remain the property of Safe Response.
10.2. Reproduction, redistribution or use without written consent is prohibited and may result in legal action.
11. Booking Amendments & Special Requests
11.1. Changes requested within 5 days of the booking date will incur a £75 administration fee.
11.2. Reduced scope of work remains subject to this fee.
11.3. Late additions or changes (within 48 hours) may incur expedited delivery and additional labour charges.
12. Storage & Late Collection
12.1. Storage fees will apply to vehicles/goods not collected by the agreed date:

£150 per 5 working days (first 4 weeks)

£300 per 5 working days thereafter
12.2. Vehicles not collected within 5 working days will be moved to secure off-site storage at the Customer’s cost.
13. Livery & Wrap Services
13.1. Customers must ensure paintwork is suitable for vinyl application. Existing or suspected repairs are not guaranteed.
13.2. A signed waiver is required for vehicles over 10 years old.
13.3. Safe Response is not liable for damage to clips, badges, paint or lacquer during removal or application of vinyl, reflective markings, or window tints.
14. Wrap & Livery Aftercare
14.1. Vehicles must not be washed for 7 days after installation.
14.2. Only hand-washing is permitted; pressure washing and automatic systems void guarantees.
14.3. Cleaning products are used at the Customer’s own risk. Safe Response does not recommend specific brands.
15. Delays & Force Majeure
15.1. Safe Response accepts no liability for loss or damage caused by delays, whether due to force majeure, supply issues, or circumstances beyond reasonable control.
16. Guarantees
16.1. Wrap applications include a standard 3-month guarantee unless agreed otherwise.
16.2. All warranties and guarantees are non-transferable and apply only to the original contracting party.
16.3. Minor colour variations due to supplier batch change are not covered.
17. Insurance
17.1. Customers are responsible for ensuring vehicles and goods are adequately insured while at any Safe Response premises.
17.2. Safe Response accepts no liability for loss, theft or damage unless arising from proven negligence.
