Safe Response – Emergency Vehicle Conversions
Terms & Conditions of Service

This document constitutes a legally binding agreement (“Agreement”) between the Customer and Safe Response – Emergency Vehicle Conversions (hereinafter referred to as "Safe Response", “we”, “us”, or “our”) for the provision of services and/or supply of goods.

By engaging Safe Response for any services or purchasing any goods, the Customer agrees to the following Terms and Conditions:


1. Scope of Agreement

1.1. These Terms & Conditions shall apply to all services provided, and any goods supplied, by Safe Response.
1.2. Any additional or specific terms may be outlined in writing via email, invoice, or contractual agreement.
1.3. No variation of these terms shall be valid unless agreed in writing and signed by an authorised representative of Safe Response.


2. Legal Use & Customer Liability

2.1. The Customer warrants that any equipment supplied or installed will be used lawfully and by an individual or organisation authorised to do so.
2.2. Safe Response, its directors, employees, and contractors shall not be held liable for misuse or unlawful possession of equipment post-installation.
2.3. If Safe Response suspects deception to obtain goods or services for unlawful use, we reserve the right to:

  • Immediately cancel the agreement without refund;

  • Report the matter to relevant authorities (e.g. NHS Trusts, law enforcement, anti-terror agencies).


3. Booking, Deposits & Payments

3.1. A booking shall be confirmed only upon receipt of a deposit, typically 50% of the total quoted amount, unless otherwise stated in writing.
3.2. Full payment is due prior to the release or handover of any goods or vehicles.
3.3. In the event of late payment, a surcharge of 8% of the total cost shall be applied for every 10 working days past due.
3.4. All amounts due must be paid in full; partial payments may be refused at our discretion.


4. Cancellations & Rearrangements

4.1. Cancellations made by the Customer are subject to the following refund schedule:

  • ≥21 days prior to booking: Full refund of deposit.

  • 15-21 days: 50% refund of deposit.

  • 8-14 days: 25% refund of deposit.

  • <7 days: No refund.
    4.2. Rearrangements may be permitted without fee if written notice is provided at least 72 hours prior.
    4.3. All cancellations incur a £75 administration fee.
    4.4. Re-arranged bookings subsequently cancelled may incur further charges, up to the full booking amount.


5. Warranty

5.1. Safe Response provides a 12-month installation warranty from the date of completion.
5.2. Equipment is warranted by its respective manufacturer, with periods up to 5 years - details confirmed on final handover
5.3. Warranty is void if:

  • The equipment is damaged due to fire, collision, vandalism, flooding, third-party interference, or improper use.
    5.4. Safe Response is not liable for faults in parts supplied by the Customer.
    5.5. Any repair work deemed outside warranty may incur:

  • Labour costs, equipment replacement, travel and accommodation, and administrative charges.


6. Liability for Damage, Theft & Loss

6.1. All reasonable care is taken during installations; however, Safe Response shall not be liable for:

  • Trim or clip damage;

  • Damage, theft, or vandalism while vehicles are in our possession;

  • Loss or theft of customer property not removed prior to delivery.
    6.2. Vehicles must be insured and taxed while in our possession.
    6.3. Secure storage is available at a rate of £35/day per item for sensitive or medical equipment.
    6.4. Controlled drugs must not be stored or left in the vehicle; Safe Response accepts no liability for such items.


7. Lease & Transport Considerations

7.1. Customers with lease vehicles must request a “lease-safe” package if preservation of return condition is required.
7.2. We are not liable for lease-return penalties unless otherwise agreed in writing.
7.3. Safe Response does not provide trade driving services. Where customers authorise us to drive a vehicle, they accept liability for insurance coverage.


8. Vehicle Condition & Cleanliness

8.1. Vehicles must be presented in a clean and workable condition.
8.2. Vehicles deemed unfit for work may be refused or subject to a cleaning charge of £85.
8.3. During public health alerts (e.g., COVID-19), Safe Response reserves the right to cancel or delay work in line with government guidance.
8.4. Vehicles must be clear of any hazardous equipment, gas canisters and personal effect before delivery.


9. Use of Media

9.1. Safe Response reserves the right to capture and use images, video, and audio of vehicle conversions for promotional or legal purposes.
9.2. Customers may request media not be published, in writing, at least 7 days before the scheduled start date.
9.3. We will endeavour to obscure number plates on unmarked vehicles but accept no liability for accidental disclosure.


10. Intellectual Property

10.1. All designs, templates, and digital artwork created by Safe Response remain our exclusive property.
10.2. Reproduction, redistribution, or use without prior written consent is prohibited and may result in legal action.


11. Booking Amendments & Special Requests

11.1. Changes requested within 5 days of the booking date incur a £75 administration fee.
11.2. Amendments resulting in reduced scope of work will still incur the administration fee.
11.3. Late additions or changes (<48 hours prior) may be subject to expedited delivery charges and additional labour fees.


12. Storage & Late Collection

12.1. Vehicles/goods left beyond the agreed collection date incur a storage charge of:

  • £150 per 5 working days (first 4 weeks);

  • £300 per 5 working days thereafter.
    12.2. Vehicles not collected after 5 working days will be moved to secure off-site storage at the customer’s cost.


13. Livery & Wrap Services

13.1. Customers must ensure paintwork is suitable for wrapping. Areas with existing or suspected repairs will not be guaranteed.
13.2. A signed waiver is required for vehicles over 10 years old.
13.3. Safe Response shall not be liable for:

  • Damage to clips, badges, paint or lacquer during removal or application of vinyl, reflective markings, or tints.


14. Wrap/Livery Aftercare

14.1. Vehicles must not be washed for 7 days post-installation.
14.2. Only hand washing is permitted – pressure washing or automatic systems void any guarantees.
14.3. Safe Response does not endorse any specific cleaning products; customers use them at their own risk.


15. Delays & Force Majeure

15.1. Safe Response shall not be held liable for any loss or damages caused by delay, whether due to force majeure, supply chain disruption, or other circumstances beyond reasonable control.


16. Guarantees

16.1. A standard 3-month application guarantee applies to all wraps unless otherwise agreed.
16.2. All warranties and guarantees are non-transferable and apply only to the original contracting party.
16.3. Minor colour variations due to batch changes from suppliers are not covered under warranty.


17. Insurance

17.1. Customers are solely responsible for ensuring their vehicles and goods are adequately insured while at any Safe Response facility.
17.2. Safe Response accepts no liability for loss, theft, or damage not arising from its proven negligence.
